The PE Playbook is a teacher-facing educational service. This policy explains what information we handle, why we need it, and the choices available to educators and schools.
1. Scope and operator
This Privacy Policy applies to The PE Playbook website and application. The PE Playbook is created and operated by Kyle Schmidt. Questions and privacy requests may be sent to support@the-pe-playbook.com.
2. Who the service is for
The PE Playbook is intended for teachers, school employees, administrators, and other authorized adult users. Students do not create accounts. An educator may issue a permanent, unique QR page that lets a student review only that student's teacher-selected fitness information, current questions, and the student's own saved responses. Educators and schools decide what information to place in their workspace and should use the service consistently with their school or district policies. The PE Playbook remains responsible for its own obligations as the service operator.
3. Information we collect
Account and authentication information
We may receive an account holder’s name, email address, authentication provider, account identifier, email-verification status, and related sign-in information. Password credentials are handled by Firebase Authentication and are not visible to The PE Playbook.
School and workspace information
Account holders may enter a school profile, teacher names or emails, class names, grades, schedules, school-year dates, rotations, school colors, house information, and uploaded school or house logos.
Student information entered by educators
Depending on the tools used, a workspace may contain student names, class and grade placement, gender, attendance status, attendance or class notes, fitness results and progress, reflection responses, unique QR access tokens, achievements, MVP recognition, house assignments and points, team assignments, and related historical records.
Billing information
We receive limited subscription and transaction information such as plan, payment status, customer identifier, and billing email. Stripe processes checkout and card details. The PE Playbook does not store full payment-card numbers.
Technical and support information
Our hosting and service providers may process IP address, browser and device information, request logs, security events, and similar technical data. The application also uses essential browser storage for sign-in state, display preferences, and the local sample-school experience. We collect the contents of messages sent to support.
4. How information is used
We use information to authenticate users, provide and synchronize the workspace, operate requested classroom tools, process memberships, answer support requests, maintain security, troubleshoot problems, and comply with applicable legal obligations.
Student information, including QR-submitted responses, is used only to provide the educational functions selected by the account holder. A saved response is available to the student through that student's private QR page and to the authenticated teacher account that assigned the questions. It is not made available to other students. We do not use student information for targeted advertising, sell it, or use it to create unrelated commercial profiles.
5. Service providers and disclosures
We use service providers that process information on our behalf to operate The PE Playbook. These include Google Firebase for authentication, database, and file storage; Hostinger and related content-delivery providers for website hosting and security; and Stripe for checkout, subscriptions, invoices, and billing management.
We may also disclose information when reasonably necessary to comply with law, protect the security or rights of users and the service, investigate fraud or abuse, or complete a business transfer subject to appropriate protections. We do not disclose student information for unrelated advertising or marketing.
6. Data retention and deletion
Workspace information is retained while an account is active and as reasonably necessary to provide the service. Certain billing, security, and transaction records may be retained as required for legitimate business or legal purposes.
A verified account holder or authorized school representative may request access, correction, export, or deletion by emailing support@the-pe-playbook.com. We may need to verify the requester’s identity and authority. After a validated deletion request is completed, information is removed or de-identified from active systems, subject to legally required records and the ordinary expiration of protected backups.
7. Security
We use HTTPS, authenticated access, and account-scoped database and storage rules designed to keep each user’s workspace separate. Each student QR page uses a long random access key intended to remain with that student; teachers can pause it or replace it if it is lost or shared. Sending new questions does not change the QR code. Our Firebase services encrypt data in transit and provide encryption at rest. No online service can guarantee absolute security, so account holders should use a strong password, protect access to their email and Google accounts, keep student QR codes private, and notify us of suspected unauthorized access.
8. Student and children’s privacy
The service is controlled by adult educators rather than students. A teacher-issued QR page displays a limited copy of only the assigned student's first name, grade, selected fitness data, current questions, and that student's own response history. The student may create or update answers only during the class time block assigned by the teacher. The assigning teacher can review those responses through the authenticated teacher workspace; other students cannot view them. Students do not create accounts. Schools and educators should use this feature only for an authorized educational purpose and after completing any review or approval required by their school or district. We will work with verified schools and account holders on appropriate requests to review, correct, or delete student information.
9. Changes to this policy
We may update this policy as the service changes. The effective date at the top of this page will be revised when an update is posted. Material changes may also be communicated through the service or by email when appropriate.
